What our customers have to say. Unedited.
"We moved 45 lines off copper in March. The old system had been 'temporary' for six years. Callharbor handled the porting, set up our ring groups, and the whole thing was live by Thursday. We've had one outage since — 11 minutes on a Saturday."
Rachel Keane
Operations Director, Whitmore & Associates
Law firm · 38 employees
"Honestly didn't think we needed a 'business phone.' But having a real number that isn't my cell has changed how clients see us."
Diego Fuentes
Founder, Fuentes Creative
Branding studio · 3 people
"The analytics surprised me. I didn't know our reception desk was missing 23% of calls before 9 AM. Fixed it in a week with a ring group."
Ava Lindström
Office Manager, North Pine Dental
Dental practice · 12 staff
Most teams are making calls on day two. Larger setups with number porting take a bit longer — we'll give you a real timeline upfront.
Fill out the form. We'll schedule a 20-minute walkthrough where you can ask the questions that actually matter to your setup — not sit through a canned pitch.
How many lines? Porting numbers? Ring groups? We map it out so there's no guesswork. You'll get a written plan before anything moves.
We've onboarded — actually, migrated is the better word — about 60 companies off legacy PBX systems. Your numbers carry over. Your team gets login links. Done.
Open the Callharbor app or sign in from your browser. Make a test call. See the dashboard light up. That's it — you're running.
Straight answers. No fine print buried in the footnotes.
Yes, number porting is included with every plan. The process typically takes 5–10 business days depending on your current carrier. We handle the paperwork — you just authorize the transfer. Fair question, though — it's the first thing almost everyone asks.
No. Callharbor works in any modern browser, plus there are apps for iOS and Android. If you want desk phones, we support standard SIP handsets — but most clients don't bother. Your laptop and a decent headset are usually enough.
Calls auto-forward to a mobile number you set in advance. You won't miss calls — you just won't have the dashboard until connectivity is back. Look, any cloud phone system depends on your internet. We're honest about that. But the failover means you're never truly unreachable.
We record with one-party or two-party consent options depending on your state. Recordings are encrypted at rest and in transit, and retained per your policy settings. If you're in a two-party consent state like California or Illinois, we'll help you configure the proper disclosures.
Blunt answer: 1–3 days for most teams under 50 seats. Larger migrations with number porting usually take 2–3 weeks. We won't sugarcoat the timeline — porting depends on your old carrier's speed, and some of them drag their feet.
Move up a tier. Same platform, same numbers, same setup. No migration, no downtime. The Solo-to-Small jump takes about 10 minutes to configure. We built it that way on purpose — growing shouldn't feel like starting over.
Book a 20-minute demo. No credit card, no pressure, no 47-slide deck. Just your questions and our answers.
Pick a time that works. We'll show you the dashboard, walk through your use case, and answer everything — including the stuff you'd normally save for the second call. No slides. We promise.

Callharbor Systems started in 2020, in a co-working space in Portland's Pearl District, with a pretty simple frustration: business phone systems were either cheap-and-terrible or expensive-and-locked-in. Lauren Cho, our CEO and co-founder, had spent nine years at a mid-market telecom company selling hardware-locked contracts. She knew the margins, she knew the markup, and she knew that most of what companies were paying for — the PBX boxes, the maintenance visits, the per-line surcharges — could be replaced by software running on servers that already existed.
So she built it. Well, she and Marcus Webb built it. Marcus is our Head of Engineering. He previously built call routing systems at a regional carrier and holds two patents in voice packet optimization — which is a boring-sounding thing that actually matters a lot when you care about call quality. He's the reason calls on Callharbor sound clear even when your Wi-Fi is being unreliable.
Anna Kowalski runs Customer Success. She's the person your team talks to during onboarding and migration. Anna used to manage IT operations for a company with 14 offices, so she's been on the other side of bad phone system rollouts. She joined in 2021 because, in her words, "I wanted to be the person who made it go right for once."
Today we're a team of 26. Headquarters are in Portland — that's where sales, operations, and support sit. Our engineering team is remote, spread across three time zones, which means bugs don't wait until Monday morning to get fixed.
Here's the thing we want to be upfront about: we don't do contact center. If you need IVR trees with 40 branches and a queue callback system, we'll point you somewhere else. Seriously. Callharbor is built for teams that make and take calls — not for routing 10,000 of them an hour. We're good at what we do precisely because we don't try to be everything.
We've been growing quickly since launch — 437 businesses on the platform as of this quarter, up from about 120 at the start of 2024. Most of our growth comes from referrals, which we think says something. Or maybe it says we need to get better at marketing. Probably both, honestly.
The company is registered as Callharbor Systems LLC in Oregon (EIN 93-4178253), founded in 2020. We're self-funded. No VC money, no outside board telling us to raise prices by 20% to hit a growth target. We answer to our customers and our P&L — in that order.
